A self-performing contractor is hiring a Controls Specialist to manage document flow and project records on a significant construction operation in Arizona. This is a client-facing role that sits at the center of project operations, keeping teams aligned and mitigating risk through organized, professional document management. What You Will Run
- Manage high-volume incoming and outgoing construction documents including plans, specs, RFIs, submittals, meeting minutes, and non-conformance reports.
- Develop and enforce numbering, filing, and document control systems that keep the project organized and compliant.
- Coordinate document reviews between internal teams, clients, and external parties to keep schedules on track.
- Prepare and distribute agendas, meeting minutes, and reports for both internal leadership and client stakeholders.
- Serve as a gatekeeper, flagging documents and issues that carry safety, quality, schedule, or budget risk.
- Format, download, file, and distribute complex construction documents with accuracy and speed.
- Maintain detailed logs and templates, updating systems as project needs evolve.
- Handle general office administration and supply inventory as needed.
What It Takes
- Bachelor’s or associate degree in Technical Communication or related field.
- Strong written and oral communication skills with a genuine client service mindset.
- Proficiency in Microsoft Office Suite, especially Excel, Word, Outlook, and PowerPoint.
- Ability to work independently, multi-task, and prioritize under tight deadlines.
- Problem-solving mindset and willingness to adapt when circumstances fall outside standard procedures.
- Experience with Aconex, SharePoint, Bluebeam, or Adobe Creative Suite is a plus.
- Mining or construction industry background preferred but not required.
- Willingness to travel to project sites and work in active construction environments.
- Commitment to safety and MSHA standards.
Compensation and Benefits
$80,000 to $110,000 per year, based on experience. You will report to the Project Controls Manager and receive ongoing training to develop your skills across multiple areas of project support.
